Workflow Utilities
Workflow Utilities separate SSI's Document Management solution from all
the others, because it offers several integrated applications, each specifically
designed to accomplish a precise information management task within the
modern healthcare business office. These Workflow Utilities effectively
streamline workflow processes, make information available to multiple
users simultaneously, provide significant cost savings, enhance the patient
experience, improve physician services, meet regulatory requirements,
protect against litigation, and eliminate downtime associated with chasing
lost or misplaced folders. All told, they help create a more efficient
and productive working environment.
The following is a brief overview of each of these Workflow Utilities:
Insurance Card Verification and Scanning
At registration, all patients are asked for their insurance card and drivers
license. With SSI's Insurance Card Verification tool, you can quickly
check to see if the patient's insurance card has already been scanned
into the system. If the patient's card is not on file, you can quickly
scan the card, store it under that patient's encounter number and interface
it with your host mainframe registration screens. This makes keying in
data unnecessary; simply put the patient's insurance card in the scanner,
click the "scan" button, and it's done.
Insurance Eligibility Check
Operating in real-time, an Insurance Eligibility Check is initiated during
the Scheduling or Admitting/Registration process, as the user is entering
the patient's information. A quick search via the Internet returns all
the benefits information made available by the patient's insurance carrier,
including an eligibility response. After the response is received, it
is automatically stored in that patient's folder. By fully automating
the eligibility inquiry, registration time is reduced, payment denials
are prevented and patient verification is ensured.
Compliance Check and ABN Generation
ClickON® Compliance Tools can determine if a procedure is medically
necessary based on Medicare/Medicaid FI's published rules by conducting
a compliance check. If, based on the diagnosis, this compliance check
does not find the procedure to be medically necessary, then an Advanced
Beneficiary Notice (ABN) is generated. When used in conjunction with SSI's
eForms module, it's possible to pull the ABN up in eForms, print it out,
place in the clipboard and give to the patient for their signature. Once
the patient has signed the ABN, it is automatically archived into the
patient's electronic folder.
eForms with Signature Capture
eForms provides for the enterprisewide routing and storage of forms. With
it , you can quickly scan in forms and use the intuitive setup utility
to add your forms to the application. No custom programming is required.
You may also capture information from legacy systems to enhance the completion
of forms and guarantee accurate information. Your enterprise can even
capture forms requiring signatures and quickly store them for future retrieval,
when incorporating Topaz Systems® Electronic Signature Management
System. eForms reduces printing, storage and distribution costs; meets
HIPAA privacy and security mandates; and creates centralized form storage
for easy access and updating.
Integrated Scan and Query Tools
SSI has developed many interfaces with host mainframe applications which
use screen capture, DDE or OLE automation to correctly file the scanned
documents using unique identifiers.This enables a healthcare enterprise
to collect data about a particular encounter from its host system and
use that information to index the scanned document. SSI's easy-to-use
interface allows non-programming I.T. resources to setup the interfaces
and control any changes to the host screens. The goal is to scan a document
and index it without any extra keystrokes. SSI uses the same technology
to setup Hotkeys that communicate with your host application to make finding
documents just as easy.
Folder Completion
SSI's Folder Completion Application is a utility designed to ensure a
patient's folder or chart contains all the required documents, and that
those documents are complete.
Correspondence Handling
Previously a labor intensive task, SSI makes the routing and processing
of correspondence very easy. Correspondence is prepped and "batched",
similar to EOBs. Then the batches are scanned into SSI's Scan and Post
module for processing. Correspondence handlers then access the batches
from their workstation and are given the options to route, work or index
the correspondence into the imaging system. Medical Record requests from
insurance companies can be quickly routed to the Medical Records department
for review and eliminate manual processes that often delay the request
for weeks.
Paper EOB Scan and Post
The Scan and Post application links and stores the paper EOB image to
the corresponding patient's folder on the HIS. Posting EOBs requires that
all batches be prepped and scanned into the application. The users then
selects a batch, views the information from the image on the screen, pulls
up the account in their host A/R system and posts the payment and adjustments.
Once the user posts to an account, a copy of the image is stored in the
patient's electronic folder.
Bank Lockbox Support
Lockbox integration enables an enterprise's receivables to be converted
into cash.
In conjunction with selected banks, the Integrated Imaging Lockbox Solution
is designed to accept images and a transmittal file from the bank and
import into SSI's Scan and Post module where payments can be posted and
indexed into ClickON Document Management. This gives hospitals access
to remittances received for faster posting and account resolution. The
solution also allows the hospital to quickly improve cash flow by eliminating
the costs and inefficiencies associated with paper.
Seamless Integration with SSI's
Billing & Claims Transmission software
Users of SSI's ClickON
Billing and Claims Transmission software can realize immediate access
to patient documents right from the billing toolbar. A biller simply pulls
up an errored claim and clicks on the file folder icon on the toolbar
and quickly gains access to the patient's insurance card, face sheet,
statements and so on.
Enterprise Fax - Desktop In/Out, Fax Routing, Security and Transmission
Logs
Errant faxes are the most common cause of confidential information ending
up in the wrong place or in the wrong hands. Enterprise Faxing allows
you to efficiently route an influx of faxes and tightly control the outbound
faxes. This addresses HIPAA security regulations requiring faxes to be
tracked carefully, especially those sent to third parties. By electronically
routing Private Healthcare Information from the time it is received and
tracking the document through its life cycle, your enterprise can effectively
limit the number of people handling and viewing sensitive information.
